Special Events Coordinator

The Special Events Coordinator works closely with the Special Events Manager to implement a customer-centric, goal-oriented sales and events program which will generate revenue, attendance and awareness for the Hunter Museum. In addition, the Special Events Coordinator will collaborate with the Special Events Manager to implement and monitor progress against a business plan that supports the strategic direction and priorities of the museum, including facilitating outside sales, tours and rentals of our venues and coordinating the logistics of those rentals.

Key Responsibilities

  • Assist with the implementation of policies and procedures ensuring a safe, clean, and friendly environment.
  • Work with Special Events Manager, caterers, and event staff to ensure staff performance and venue management.
  • After event, solicit vendor staff feedback and report performance results to the Special Events Manager.
  • Assist Special Events Manager and other Department Heads with other duties including scheduling of event staff, facility maintenance and other office duties necessary to ensure successful events.
  • Complete office hours as necessary to coordinate and/or plan events which may include working directly with the client both in the sales and planning stages of the event.
  • Assist with departmental billing, creating purchase orders and check requests.
  • Maintain records for vendors including licenses and insurance. Meet with vendors as necessary to plan events.
  • Perform housekeeping tasks and routine maintenance of museum facilities when necessary.
  • Nurture client, vendor, and inter-department relationships to generate revenue, attendance, and awareness.
  • Enforce all operational policies and procedures submitting necessary report forms to the proper staff.
  • Ensure awareness and compliance of all local and state laws relating to the Alcoholic Beverage Commission and Health Department.

Key Requirements

  • College experience preferred OR a minimum of 5 years' experience in a related field.
  • Microsoft Office skills including Outlook, Word, Excel and Access.
  • Experience with Google Suite.
  • Knowledge of museum event and facility guidelines.
  • Self-motivated team player, with good communication, customer service and organizational skills.
  • Ability to handle several tasks at once maintaining a professional, poised demeanor under pressure.
  • Ability to maintain cooperative and pleasant work relationships with clients, employees, volunteers and visitors to the museum.
  • Understanding of safety and security procedures necessary to personnel, visitors and public.
  • Knowledge of catering and event planning.
  • General housekeeping and grounds keeping skills.
  • Primarily nights and weekends required.
  • Ability to communicate effectively, both in writing and orally, and establish effective working relationships with employees at all levels throughout the Hunter Museum.

  • Valid driver's license (in order to attend off-site events when necessary)

Full-time, hourly (Starting at $18.27/hour); must be able to work a flexible schedule including evening, weekend, and holiday hours. On call availability for emergencies required.
